We are currently looking to fill our Administrative Assistant vacancy in the Pasadena, CA office. The successful Administrative Assistant candidate will support our team of professional CAREGivers and office staff to continue our mission of enhancing the lives of aging adults throughout our community. Job Description: Job responsibilities include a variety of clerical and administrative duties which includes but are not limited to answering phones fielding prospective client inquiries new employee onboarding ensure compliance with State and Local regulations and performing Quality Assurance assessments with current clients to ensure the highest quality of care.Primary Responsibilities:

  • Reflect the core values of Prescott Sanchez, Inc., d.b.a. an independently owned and operated Home Instead Senior Care franchise.
  • Answer phones by 1st ring and direct calls appropriately
  • Hospitality
  • Office common area housekeeping, includes, but not limited to, dishes, dusting, organizing supplies and ensuring areas have necessary supplies and refreshments
  • Mail Pick Up
  • Copy machine maintenance
  • Update phone extensions and phone list
  • Create New Hire Welcome Bags
  • Weekly Update to Welcome Video
  • Updating Paycheck Distribution list
  • Automobile Maintenance, including coordinating routine maintenance, gas, and wash
  • Support employee onboarding documents and achieving
  • Support NEO needs including, but not limited to, office notifications, candidate reminders, supplies, room preparation, etc.
  • Support employee expiring document renewals
  • Field new client inquiries over the phone in a knowledgeable manner and schedule care consultations
  • Support accuracy of office supply inventory lists
  • Support COVID-19 Surveillance and Testing compliance efforts
  • Print, organize and mail Client invoices
  • Support Office Special Events & Marketing as needed
  • Administrative support of all departments as delegated by Office Manager or Management Team Qualifications:
    • High school graduation or the equivalent
    • One year of related business experience or an equivalent combination of education and work experience may be considered
    • Must possess a valid driver's license
      • Able to communicate information efficiently. Active listener, pay attention to detail. Must speak fluent English. Fluent or conversational Spanish is a plus!
      • Must possess a strong work ethic can prioritize and multi-task in a dynamic environment able to follow through and complete assigned tasks with limited instruction
      • Must be flexible and available to work on weekends
      • Must have computer experience, expert in Microsoft Office Suite.
